Nextwave Digital Group, Inc., operating as Book The Game ("we," "our," or "us"), is committed to protecting your privacy and safeguarding personal information for clients, parents/guardians, athletes, and independent professionals.
Information We Collect
We may collect:
- Account information (name, email address, phone number if provided)
- Booking details, coverage requests, and messages
- Athlete information provided by a parent or legal guardian, including date of birth (used only to apply age rules) and guardian email
- Professional business information, including service area and approximate city location shown on maps
- Photos and videos uploaded for booking delivery, organization hubs, or the Feed
- Basic usage information about how the platform is used
- Account date of birth, used for age rules and to confirm the purchaser of a paid booking is an adult (self-reported, never shown publicly)
- Payment authorization records, including who agreed, when, the wording and version shown, and the maximum authorized balance
- Payment-related metadata processed by third-party providers (we do not store credit card information)
How We Use Information
We use personal information to:
- Facilitate bookings between clients and professionals
- Process payments securely
- Deliver photos and videos privately
- Communicate booking updates and support messages
- Improve platform functionality and security
Media & File Access
Uploaded photos and videos are private by default and accessible only to the booking participants, members of the relevant organization, and administrators.
Media becomes publicly visible only when a user chooses to publish it, for example by featuring it on a public athlete profile, creating a shareable album link, or posting it to the Feed. Public athlete profiles show only the details the athlete chooses to display, never the account login email, date of birth, or guardian information.
Children's Privacy
Book The Game is intended for users 13 years of age or older.
Athletes aged 13โ17 may create and manage their own profile, or a parent or legal guardian may manage it for them. Providing a parent or guardian email at sign-up is optional.
We do not knowingly collect personal information directly from children under 13.
A parent or legal guardian of a minor may review, make private, or request removal of that athlete's profile and content at any time.
Athletes aged 13 and older may choose to publish a public recruiting profile on their own. Profiles of athletes under 13 can never be made public. A parent or legal guardian of an athlete aged 13โ17 may ask us to return that profile to private at any time.
Minor Profile Removal & Takedown Requests
A parent or legal guardian may request removal of a minor's public profile, photos, or video at any time, and does not need to give a reason.
- How to request: email support@bookthegame.com with the subject line "Minor Profile Removal."
- What to include: the athlete's full name, the profile link or the email address on the account, and your relationship to the athlete.
- Verification: we may ask you to confirm from the guardian email address on the account, or to provide other reasonable proof of guardianship, before we act on information we cannot otherwise verify.
- Our response: we acknowledge requests within 3 business days. Where we can verify the request, the profile is made private immediately upon acknowledgement, and requested content is removed within 10 business days.
- Making a profile private: a parent or guardian asking us to stop publishing a minor's profile is treated as a removal request and returns the profile to private.
Anyone else โ including a school, club, coach, or another parent โ may report a minor's public profile using the same email address. We review every report and may make a profile private while we investigate.
Removing a public profile stops future public access. Copies already downloaded or shared elsewhere by third parties are outside our control, and content may be retained where the law requires.
Data Sharing & Service Providers
We do not sell personal information. We may share data only:
- Between booking participants
- With trusted service providers, such as Stripe for payments and payouts, plus hosting, storage, email delivery, and mapping services
- When you choose to make a profile or media public
- When required by law or to protect platform safety
Data Retention
We retain personal information only as long as necessary to provide the platform, comply with legal obligations, resolve disputes, and enforce agreements. Data may be deleted upon account closure or verified request, subject to legal requirements.
Cookies & Tracking
Book The Game uses essential cookies and similar technologies necessary for platform functionality, authentication, and security, along with basic analytics to understand how the platform is used. We do not use third-party advertising cookies.
Your Privacy Rights
Depending on your location, you may have the right to:
- Request access to your personal data
- Request correction or deletion of your data
- Withdraw consent where applicable
